An at-home rehearsal dinner in Saratoga Springs
Saratoga is a wedding town, and the rehearsal dinner is often the one event of the weekend the families plan themselves. A lot of wedding parties already have the setting: a family home in town, or the big rental where half the wedding party is staying. Bringing a private chef to that house gives you a dinner that feels like the families hosting, not a room booked off a list.
It also keeps the night before calm. Nobody drives anywhere after the rehearsal except back to the house, the toasts happen in a living room or on a porch, and the couple can slip out when they need sleep.
Private chef vs caterer for a 20 to 40 guest rehearsal dinner
Twenty to forty guests is right where the two overlap, and the setting usually decides it.
A private chef fits when the dinner happens in a house at one long table or a few smaller ones, the menu is family-style or a short plated meal, and you want the food cooked in that kitchen and served hot. Past about 20 guests, plan on a server or two alongside the chef; you'll settle staffing with your chef.
A caterer fits better when you're above 40, when dinner is under a tent in the yard, or when you want a buffet with chafing dishes and a full crew. Caterers own the gear and the staff for that. Our private chef vs catering guide walks through the decision in more detail.
Rehearsal dinner menus that work for a crowd
For 30 people from a home kitchen, family-style is the move: big platters of one or two mains, a couple of sides, a salad and a dessert passed down long tables. It's generous and social, and it doesn't need a team plating in a cramped kitchen. A grill menu works well on a summer deck at a lake rental.
Collect dietary needs with the RSVPs and send them to the chef in one list. A vegetarian, a gluten-free cousin and a nut allergy are easy to plan for and hard to handle the day of.
A good rehearsal dinner menu often nods to the couple: a dish from the town one of them grew up in, the meal from their first date, a dessert from a grandmother's recipe card. Give the chef the story and let them build a course around it. If kids are coming, ask for a simple plate that goes out first, so parents can settle them before the toasts start.
Timing a rehearsal dinner with the wedding weekend
Rehearsals usually run late afternoon at the venue, so most rehearsal dinners start between 6:30 and 7:30. Work backward from there. The chef needs the kitchen for several hours beforehand, so if the house is also where people are getting ready or arriving from the airport, plan around it. Keep the dinner to about three hours. The wedding party has an early morning.
Book as soon as you have the date and the house. Saturday weddings during track season (roughly mid-July to Labor Day) and peak fall weekends put Friday nights in demand. If the rehearsal is up at Lake George instead, the same rule applies, and lake rentals book even earlier.
Rentals and staffing for a rehearsal dinner at home
A private chef usually cooks and serves; the rest of the setup comes from you or a party rental company. Count tables, chairs, linens, plates, flatware and glasses against the guest list. Most homes have enough for twelve, not thirty-five. Your chef can often point you to servers and rental companies.
If the dinner is at a vacation rental, check the house rules before anything else. Our Airbnb chef page covers what to ask the host. Smaller group, closer to 12? A private chef for a dinner party is the simpler booking.
